Reporting to the Vice President of Pomerleau’s Technical Division, you will be responsible for providing administrative, organizational, and logistical support to the Technical Division, with a particular focus on supporting the Vice President and the team of Directors serving on the Technical Division’s Management Committee.
What you will do

• Proactively manage the Vice President’s calendar, including scheduling meetings, booking meeting rooms, and coordinating related logistics;
• Prepare meeting agendas, draft correspondence, documents, and presentations, particularly for team meetings, and ensure timely follow-ups;
• Coordinate the team’s French and English translation requests;
• Serve as the primary point of contact for the department, triaging incoming requests and ensuring appropriate follow-up;
• Prepare and submit the Vice President’s expense reports and follow up on reimbursements;
• Coordinate domestic and international business travel, including transportation, accommodations, and dining reservations;
• Provide administrative support related to employee onboarding (IT equipment, access requests, checklists, invitations), event planning and coordination (quotes, reservations, guest lists, etc.), and the ordering of promotional items;
• Design and administer online surveys;
• Maintain and update the team’s vacation calendar;
• Ensure departmental SharePoint sites, virtual libraries, and documentation are accurate and up to date;
• Support team engagement and culture initiatives, including birthdays, team-building activities, and monthly team meetings.

This role could be for you if you have

• 5 years of relevant experience in a team support/administrative role;
• Diploma of Vocational Studies (DEP) or Attestation of College Studies (AEC) in a relevant field;
• Excellent command of French and English, both written and spoken;
• Demonstrates proactivity, creativity, autonomy, and versatility;
• Demonstrates rigor and the ability to manage multiple files simultaneously while meeting deadlines; excellent priority management;
• Strong organizational skills, sense of responsibility, and good political acumen;
• Strong interpersonal skills and ability to build relationships;
• Demonstrates discretion and confidentiality while remaining visible and available;
• Demonstrates sound judgment and the ability to anticipate needs and/or requirements;
• Demonstrates integrity and benevolence;
• In-depth knowledge of the Microsoft Office suite (Word, Excel, PowerPoint, and Outlook);
