Reporting to the Quality Director, the Quality Services Assistant provides administrative, planning, and organizational support to the team, particularly with regard to event planning, the preparation and control of internal and external documents, as well as various special projects, as needed.
Key Responsibilities:


• Manage the schedule of the Quality Department and the Quality Director
• Support the organization of events and logistics planning for Quality Days, team activities, etc.
• Act as a key administrative resource for the Quality Department
o Screen and manage requests, calls, and emails (including managing the department’s inbox)
o Coordinate the use of courier services
o Handle required correspondence
o Provide support to the team in drafting various types of documents, conducting research, and other related tasks
o Ensure follow-up on internal and external document translations
• Produce and publish information on the intranet related to topics such as:
o Notices impacting the quality system
o Ingénieux articles and Lessons Learned
o Contribute to the Quality blog
o Upload photos and content across various platforms (FdB, LinkedIn, Intranet, etc.) in collaboration with the Communications Department
• Manage promotional items for the department (under the supervision of the Quality Director and in collaboration with the Communications Department):
o Develop ideas for new promotional items for various projects and events
o Manage orders for promotional items
• Conduct research on topics related to the Quality Department, such as ISO updates, conferences on operational excellence and quality, training programs supporting construction quality activities, etc.
• Organize team meetings and special lunches, and make the necessary reservations

Additional Responsibilities:
• Collect information at project close-out to track and obtain Client satisfaction results (including the use of specific software)
• Maintain Quality-related intranet documents and support users with their requests
• Manage and maintain a classification system to facilitate document retrieval and consultation



Education, Certifications, and Experience Required:


• Certification or Degree: Diploma or certificate in administrative office support or communications
• Experience: 1 to 3 years of experience supporting a team
• Assets: Experience supporting a quality, construction, or service unit team; experience in event planning or logistical support; ability to train teams on collaborative tools (software); prior experience working with an intranet
• Knowledge/Skills:
o Advanced proficiency in MS Office
o Ability to quickly adapt to the use of internal software
o Strong writing skills, versatility, and creativity
o Demonstrates adaptability and a commitment to excellence
o Methodical, well-structured, with strong organizational skills and autonomy
o Detail-oriented and able to work under tight deadlines
o Strong learning agility and execution speed, with respect for deadlines
o Strong communication and interpersonal skills; dynamic, team-oriented, with training abilities
o Focused on internal and external client satisfaction

o Bilingual in English and French, both written and spoken
