As a Project Administrative Assistant working in the Building Operations team at Pomerleau, you will play a key role in supporting the project teams with essential administrative tasks. Working on large-scale building and infrastructure projects - ranging from $1.5 to upwards of $1 billion, you will be responsible for a variety of tasks including updating project documentation, managing meeting schedules, and coordinating various project resources.
What you will do

Administrative Management and Documentation
• Manage delivery slips and work orders in accordance with the project’s general conditions.
• Collect, validate, and organize timesheets in line with the project’s general conditions.
• Verify document coding and ensure compliance.
• Upload daily reports, work orders, delivery slips, and other relevant documents to Procore.
• Maintain up-to-date standard documents used for kickoff meetings with subcontractors.
• Update dashboards used for project administrative tracking.
• Support the project controls team.
• Contribute to the preparation of weekly and monthly reports for the client.

Procurement, Orders, and Payments
• Prepare certain purchase requests and follow up on orders.
• Support the verification of payment applications from certain subcontractors (DDP).
Site Coordination Support
• Participate in the daily organization of the Planning of the Day (POD).
• Assist with meeting planning (logistics, invitations, document preparation).
• Prepare selected meeting minutes.

Logistics, Inventory, and Visual Tracking
• Maintain inventory of office equipment and administrative supplies.
• Maintain the site cafeteria inventory.
• Produce weekly photo reports.
• Update site photos weekly in the HoloBuilder software.

This role could be for you if you have

• A college diploma in office administration, or an equivalent combination of education and industry experience.
• 3-5 years of relevant experience in a similar role.
• Comfortable using technology tools and management platforms (e.g., Procore, HoloBuilder).
• Proficient with the Microsoft Office suite.
