During the proposal and execution phases of projects with FF&E management/procurement responsibility, the FF&E Coordinator assists the Manager in overseeing all stages of design, procurement, installation logistics and commissioning of the project's FF&E. Depending on the size and characteristics of the project, he/she may be assigned the management of a particular area and/or technical responsibilities based on his/her expertise.
What you will do

• Familiarize yourself with the documents provided by the client during the proposal phase and/or the project documents during the execution phase (design-build contract, contracts with professionals, client technical specifications, etc.).
• With the FF&E Manager, agree on the scope of work and determine the applicable processes (definition of FF&E, procurement and logistics requirements, document management requirements and deliverables).
• Perform the following tasks (non-exhaustive list):
• Develop the breakdown structure and lists of FF&E according to types and contracting parties and the corresponding responsibility matrix.
• Structure the lists of deliverables to be provided by the contracting parties.
• Collaborate in setting up the schedule according to the needs of the designers and the execution team.
• Monitor the production of deliverables according to the objectives and established deadlines (technical data sheets, shop and installation drawings, installation, operation and maintenance manuals).
• Manage technical questions and answers received from the design teams.
• Manage technical documentation and reviews using a document management system, including the transmission of information to the stakeholders
• Based on experience, perform compliance checks on received documents.
• Participate in design review committees with all relevant stakeholders, draft reports as required and follow up on outstanding issues.
• Collaborate with the construction team to review information requests, shop drawings, and site instructions.
• On Corporate level, collaborate in the evolution of work processes and technical library management.

This role could be for you if you have

• Diploma in Architecture, Interior Design, Biomedical technologies or engineering or any relevant training.
• At least five years of experience coordinating development, supply logistics, installation, and equipment commissioning (Medical furniture and equipment experience will be considered as a strong asset).
• Proficiency in reading technical documents such as drawings (Architectural, Mechanical, Electrical & Process) specifications and contractual documents.
• Demonstrate initiative, innovation, and rigor.
• Proficiency in MS Office software, including MS Access.
• Proficiency in Project Management / Document Management Systems.
• Proven knowledge of the BIM-VDC virtual modeling approach.
• Excellent analytical and synthesis skills, sound judgment, and excellent communication skills.
• Ability to collaborate effectively with all members of the project team.
• Comfortable in a fast-paced environment and good stress & time management skills.
• Other assets that will be considered:
• Level of knowledge with project management softwares such as ProCore™.
• Level of knowledge in building space, data and commissioning management softwares such as dRofus or CxAlloy.
• Database knowledge (MS Access).
• Knowledge in BIM-VDC – Virtual modeling approach.
