Under the supervision of the Director – Claims Management and OHS Finance, the incumbent will be responsible for providing essential administrative support to the Centre of Excellence. More specifically, this person will assist with the management of injury claims files, ensure financial compliance related to health and safety, and process invoices for the OHS department. Additionally, they will be responsible for opening and preparing the necessary documents for new projects. Strong organizational skills and meticulous attention to detail will be crucial for success in this role.
What you will do

• Process the receipt, verification, and follow‑up of medical invoices, external provider invoices, and documents from the Health & Safety (H&S) department.
• Manage filing, case creation, and administrative follow‑up for workplace accident files, including communication and regulatory compliance with governing bodies (e.g., CNESST, regional agencies).
• Support the management of claims, prepare documentation for medical assessments, specialized requests, and legal case files
• Assist internal stakeholders with out‑of‑province incident declarations by coordinating, collecting, and preparing all required documentation.
• Assemble and update OHS prevention programs for various divisions and ensure project setup with government agencies when required.
• Maintain personnel databases, manage distribution lists, organizational charts, file access, and generate compliance certificates needed for documentation.
• Ensure continuous compliance follow‑ups through the access portals of various regulatory bodies.
• Support the overall administrative needs of the Health & Safety team by ensuring accurate documentation, timely communication, and adherence to organizational and legislative standards.


This role could be for you if you have

• 3 to 5 years of experience in a similar role
• A college diploma in Occupational Health and Safety, Administration, or a related field
• Strong professional communication skills when interacting with regulatory bodies (CNESST, regional organizations, etc.)
• Natural ease with the Microsoft Office Suite
• Excellent organizational skills for filing, opening, and managing workplace accident files
