Pomerleau is seeking a dedicated Office Coordinator to support our Vancouver Regional Office. This role is central to keeping our operations running smoothly and efficiently. With strong administrative experience and a passion for operational excellence, you will provide high‑quality support to both our Operations teams and Estimating department in a fast‑paced, deadline‑driven environment.

As an Office Coordinator, you bring exceptional communication skills, a collaborative mindset, and a genuine interest in the construction industry. You will contribute at every stage of the project cycle—including pre‑construction—while identifying opportunities to streamline processes and improve office operations. This position offers room for growth and development within a supportive team committed to rethinking construction together.
What you will do

• Office Administration
• Develop, maintain, and improve processes to optimize office operations.
• Research, manage, and maintain vendor relationships to support office efficiency.
• Oversee and manage Pomerleau’s internal seating allocation system.
• Lead office initiatives and coordinate the office engagement calendar.
• Maintain department organizational charts, intern lists, and related records.
• Complete ad‑hoc tasks as assigned by the hiring manager.

Estimating Administration

• Provide day‑to‑day administrative support to the operations and estimating teams.
• Assist with key project startup documentation and prepare draft correspondence.
• Support the estimating team with administrative tasks, including job closing activities.
• Use CMiC and Salesforce to generate and update opportunities, accounts, and reports.
• Create corporate user accounts and manage subcontractor information in the database.
• Sort, catalogue, and distribute trade partner submissions for tenders.
• Maintain organized storage of confidential project documentation and ensure timely access for project teams.
• Support administrative staff with project follow‑up tasks as required.


This role could be for you if you have

• 5+ years of administrative experience, ideally within the construction industry.
• Strong interpersonal skills with the ability to work effectively in a dynamic team.
• Highly organized, efficient, and able to work independently with minimal supervision.
• Proactive in identifying opportunities for process improvement.
• Proficient in MS Office, especially Word and Excel.
• Excellent time management and attention to detail.
• Strong written and verbal communication skills.
• Professional, approachable, and able to handle confidential information appropriately.
• Comfortable working in a fast‑paced, deadline‑driven environment.
• Demonstrated integrity, professionalism, and reliability
