The Administrative Assistant – Preconstruction provides essential support to the estimating team by managing bid documentation and ensuring all required materials are prepared accurately and on time. This role coordinates the organization of project files, updates information across various platforms, and assists with the preparation of client submissions. The position plays a key part in maintaining smooth preconstruction operations and contributing to successful bid submissions.
What you will do

• Order and manage tender documents, and enter all required information into CMIC and Salesforce.
Open, organize, and update bid files (plans, specifications, addenda, subcontractor pricing).
Prepare bid forms, pricing sheets, and all documents required for submissions and client presentations.
Coordinate bonding, insurance requests, and mandatory documentation (CCQ, CNESST, RBQ).
Update project information in CMIC, Smart‑Use, Box, and maintain the bid project tracker.
Organize pre‑closures, bid closings, site visits, and meetings in Outlook; book rooms as needed.
Ensure follow‑up on addenda, complete archiving of bid files, and support other offices for bid submissions.
Coordinate Lunch & Learns and assist with team events.
Prioritize tasks according to bid deadlines.

This role could be for you if you have

• High school or college diploma in office/secretarial studies
• 2–3 years of experience in a similar role
• Proficiency in Microsoft Office and strong command of French
• Construction industry knowledge is an asset

• Ability to work under pressure, strong organizational skills, autonomy, and versatility
