Under the supervision of the Vice President and Chief Information & Innovation Officer, the incumbent provides high-level strategic and operational administrative support. They work closely with all IT, innovation, information security, digital project teams, and internal partners to facilitate the coordination, execution, and follow-up of various priority files (project management, technological initiatives, executive documentation, internal committees, etc.).
What you will do

• Proactive management of the executive agenda, correspondence, follow‑ups, and critical deadlines.
• Coordination of travel arrangements, including itinerary management and expense report processing.
• Preparation, review, and formatting of strategic documents and executive presentations (executive committees, IT governance, etc.).
• Support in managing the vice presidency’s budget, including tracking, reporting, and validations.
• Close collaboration with other executive assistants to ensure alignment with corporate priorities.
• Participation in team meeting planning: agenda management, note‑taking, drafting minutes, and tracking action items.
• Coordination of internal communications related to IT/Innovation initiatives (updates, newsletters, major changes).
• Management of internal distribution lists related to IT communications and innovation programs.
• Administrative support for technology projects, including workshop organization, documentation preparation, and logistical support.
• Participation in project portfolio management activities (information gathering, deliverable tracking).
• Support in drafting, reviewing, and publishing internal documents related to new digital projects, go‑lives, or corporate announcements.
• Coordination of internal programs (open innovation initiatives, internal contests, recognition programs, etc.).
• Management of internal announcements related to events such as leaves, departures, arrivals, or special programs.
• Organization and logistics of internal and external events related to technology and innovation: workshops, demos, vendor events, training sessions, strategic meetings.
• Coordination of registrations, reservations, materials, communications, billing, and budget tracking.
• Ability to collaborate with various internal and external stakeholders and independently drive initiatives to completion.


This role could be for you if you have

• DEC in administration, secretarial studies, office management, business administration, or a related field.
• Any additional training in project management, technology, or innovation is considered an asset.
• 10+ years of experience in a similar executive support role, ideally supporting senior leadership in IT or innovation.
• Experience in project management, writing, and cross‑functional coordination.
• Advanced proficiency with the Microsoft 365 suite (Outlook, Word, Excel, PowerPoint, Teams).
• Proven ability to manage a high volume of files simultaneously while maintaining a high standard of quality.
• Excellent communication and writing skills in both French and English.
• Strong comfort with digital tools and technological environments.
